Important: These Terms govern all accommodation bookings made directly with us (including via our website, phone, email or walk‑in) and, where applicable, bookings made through third‑party platforms. By placing a booking, paying a deposit, or checking in, you confirm that you have read, understood and agree to be bound by these Terms.

1. Definitions

Guest”, “you” and “your” mean the person placing the booking and all members of the party. “Property” refers to the accommodation and any shared facilities included in your booking. “Rate Plan” refers to the specific offer selected at the time of booking (e.g., standard rate, non‑refundable, promotional).

2. Booking & Contract Formation

  • Your booking is accepted when we issue a written confirmation (email/SMS) and receive any required payment or deposit. The person making the booking warrants that they are authorised to bind the party and is responsible for all payments, communications and conduct.
  • Minimum age to contract and check‑in is [18] years. Valid government‑issued photo ID and a matching payment card may be required on arrival.
  • Special requests (e.g., specific room, late arrival) are subject to availability and are not guaranteed unless expressly confirmed in writing.

3. Rates, Taxes & Fees

  • Rates are quoted in South African Rand (ZAR) and include/exclude VAT as indicated at the time of booking. Local levies or tourism charges may apply.
  • Rates are per room per night unless stated otherwise and are based on the stated occupancy. Additional guests, cots or roll‑away beds may incur extra charges.
  • Quoted prices are subject to change until your booking is confirmed. Obvious pricing errors may be corrected and you will be offered the option to cancel with a full refund.

4. Payments, Deposits & Security Holds

  • To secure a booking, a deposit of [50%] of the total may be required. The balance is payable [on arrival / X days before arrival] depending on the Rate Plan.
  • We may pre‑authorise or place a refundable security hold of [ZAR [amount]] on a valid card at or before check‑in to cover incidentals, damages or excessive cleaning. Any balance of charges will be settled against this card.
  • Bank transfer fees, card charges or currency conversion costs are for your account. Unpaid balances may result in cancellation without refund.

5. Check‑in, Check‑out & Identification

  • Standard check‑in is from [14:00]; check‑out by [10:00]. Early check‑in/late check‑out is subject to availability and may be charged.
  • Only registered guests may occupy the room. For safety and compliance, visitors must be signed in and may be restricted after [21:00].

6. Guest Responsibilities & House Rules

  • Please treat the Property and neighbours with respect. Excessive noise, disruptive behaviour, unlawful activity, or breach of house rules may result in immediate eviction without refund.
  • Smoking and vaping are [not permitted] inside rooms or indoor public areas. A cleaning fee of [ZAR [amount]] may apply for violations.
  • Events, parties or commercial photography are only allowed with prior written consent.

7. Children, Extra Beds & Pets

  • Children are welcome under the supervision of a responsible adult at all times. Facilities such as pools require heightened supervision.
  • Extra beds/cribs are available only by prior arrangement and subject to availability and additional charges.
  • Pets are [not allowed / allowed by prior arrangement only]. Registered service animals are accommodated as required by law.

8. Damage, Loss & Cleaning

  • You are responsible for the cost of repairing damage to the Property or its contents caused by you or your party, and for replacing missing items.
  • We reserve the right to charge reasonable cleaning fees for rooms left excessively dirty (e.g., stains, smoke odour, misuse of linens).
  • Charges may be processed to the card on file after check‑out; an itemised statement will be provided on request.

9. Cancellations, No‑Shows & Changes

  • Your Rate Plan determines flexibility. Unless specified otherwise at booking:
    • Flexible/Standard: Free cancellation up to [14] days before arrival; thereafter [50%] of the total is charged; [100%] if cancelled within [7] days or for no‑shows.
    • Non‑refundable/Promotional: Full prepayment; no changes or refunds.
  • Shortening your stay after check‑in is treated as a late cancellation.
  • Where bookings were made via third‑party platforms, their cancellation terms may apply.

10. Force Majeure

We are not liable for any failure or delay in performing our obligations due to events beyond our reasonable control, including but not limited to acts of God, load‑shedding or utility failures, fire, flood, severe weather, government action, strikes, riots, epidemics or travel restrictions. In such cases we may offer to move dates or issue a credit at our discretion.

11. Facilities, Wi‑Fi, Parking & Safety

  • Wi‑Fi: Provided on a fair‑use basis for lawful purposes only; performance is not guaranteed. You are responsible for the security of your devices.
  • Parking: On‑site/nearby parking is [unsecured / limited] and used at your own risk.
  • Pools & Outdoor Areas: Use at own risk. No lifeguard on duty. Glassware is prohibited in pool areas.
  • We may temporarily close or restrict facilities for maintenance or safety without liability.

12. Privacy (POPIA)

We process personal information in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA), the Consumer Protection Act, and other applicable laws. We collect only what is necessary to manage your booking, comply with legal duties (including guest register requirements), and improve our services. We do not sell personal data.

  • By booking, you consent to our processing of your data for reservations, payments, verification, security and communication about your stay.
  • With your consent, we may send marketing communications which you can opt out of at any time.
  • For privacy requests (access, correction or deletion), please contact us using the details below.

13. Third‑Party Bookings & Services

  • If you book via an online travel agent or other platform, that contract may incorporate their terms; where there is a conflict, the stricter cancellation or conduct terms will apply.
  • Activities, transfers or services provided by third parties (e.g., tour operators) are supplied under their own terms and liability. We are not responsible for their acts or omissions.

14. Liability & Indemnity

  • To the maximum extent permitted by South African law, our liability for direct loss arising from a confirmed booking is limited to the amount you have paid to us for the affected stay.
  • We are not liable for indirect, consequential or special losses, including loss of profit, travel costs, business interruption or personal items.
  • You agree to indemnify and hold us harmless against claims resulting from your breach of these Terms or negligent acts/omissions by you or your party.

15. Maintenance & Right of Access

We or our contractors may enter the Property at reasonable times to inspect, carry out urgent repairs, comply with legal obligations, or in emergencies. We will endeavour to give prior notice where practicable.

16. Lost Property

Items left behind will be kept for [30] days. Return postage/courier is at the guest’s expense. Unclaimed items may be donated or disposed of after this period.

17. Complaints & Dispute Resolution

If anything is not as expected, please notify us during your stay so we can assist. Formal complaints should be submitted in writing within [7] days of check‑out. We support amicable resolution and, if necessary, independent mediation or arbitration in South Africa.

18. Governing Law

These Terms are governed by the laws of the Republic of South Africa. You agree to the jurisdiction of the South African courts with venue where the Property is situated or where the cause of action arises.

19. Changes to these Terms

We may update these Terms from time to time. The version applicable to your booking is the version in force at the time of confirmation unless changes are required by law.
